Checkout and Fines Policies

All KU faculty, staff, students, and authorized affiliates are eligible for borrowing privileges upon presentation of a currently valid KU Card. Those not eligible for a KU Card should inquire about a KU Library Borrower Card at the circulation desk in Watson Library; borrowers in this category will have the same checkout privileges as students at KU.

The Ermal Garinger Academic Resource Center is not part of the KU Libraries system. All items checked out from EGARC must be returned directly to us. Items turned in to branches of the KU libraries will be considered overdue until they have been recovered from the library. There is a drop slot located outside of the main entrance to 4070 Wescoe for those wishing to return items when EGARC is closed. Items placed in the drop slot after hours will be considered as having been returned the next day that EGARC is open.

Checkout Periods

Students may check out one item at a time, with the exception of headphones and audio splitters checked out to watch videos within the Center. Students may check out standard items (videos and textbooks) for two days. Items checked out on Thursday or Friday are due back on the following Monday. Students may check out reserved items for two hours. Reserved items include any materials that have been reserved by a faculty member for a particular course. Please note that these items are not available for overnight checkout and must be kept within the Center. To renew the checkout period of a particular item, a student must physically bring the item back to EGARC.

Faculty, staff and GTAs may check out up to three items at a time, except with special permission from the Director. The instructor checkout period for standard items is one week. Reserved items may be checked out for four hours. Please note that GTAs are treated as students when checking out reserved items for classes in which they are enrolled. Multimedia equipment must be picked up from and brought back to EGARC on the same day, except with special permission from the Director. Although there are some restrictions during certain times during the academic year, much of our equipment can be checked out for extended periods away from campus to be used for research. Please contact the Director for more details.

Fines Policies

All overdue materials must be returned and fines paid before a patron can check out any new materials. Notices of fines and overdue items are sent out every other week. Fine notices are sent by electronic mail using the official e-mail address listed in the KU on-line directory. All fines should be paid in 4070 Wescoe.

The late fee for standard items is $3.00/day. Fines for reserved items and multimedia equipment accrue at the rate of $1.00/hour. The maximum fine for any returned item is $20.00. Patrons must pay the replacement cost for any item that is damaged while in their possesssion, plus a $20.00 processing fee.

When a patron reaches the maximum fine amount for an item, (s)he will receive one final notice to return the item to avoid further charges.  If the item is not returned within two weeks of this notice, the patron will be placed on NPY hold for an amount equal to the replacement cost of the item, plus a $20.00 processing fee, and when applicable, a $20.00 maximum overdue fine. If the patron returns the item before the end of the semester, the fine will be reduced to the $20 maximum fine for the item, plus $20 for processing.

At the end of the semester, all patrons with unpaid fines on returned items will be placed on NPY hold. Once a patron has been placed on NPY hold (s)he must pay the fine at the Bursar's Office in 20 Caruth-O'Leary or online at http://www.bursar.ku.edu. There is often a slight delay in our receiving notice of fines paid to the Bursar, so please bring a receipt if you wish to check items out immediately after paying a fine.
